About the Role:
We are seeking a highly organized and proactive Project & Workflow Manager to join our dynamic digital media team. In this role, you will be the central hub for managing incoming project and campaign requests for the digital media team, coordinating stakeholders, and orchestrating our internal teams to ensure seamless project execution. Your primary responsibility will be to transform initial job requests into structured projects, guiding them through the entire lifecycle using Monday.com to ensure timely and efficient delivery. You will champion clear communication and efficient workflows, empowering our team to deliver exceptional results.
Responsibilities:
Project & Workflow Management:
Take ownership of incoming job requests for digital media projects
Develop, maintain, and communicate comprehensive project timelines and critical milestones in Monday.com.
Proactively assign tasks, track progress, and manage dependencies within Monday.com to ensure projects stay on schedule.
Identify and mitigate potential roadblocks or issues, escalating as needed to keep projects moving forward.
Ensure all project documentation and assets are organized and easily accessible within our chosen platforms.
Stakeholder & Team Coordination:
Serve as the primary point of contact for all project-related inquiries, ensuring clarity and alignment across all parties.
Expertly coordinate and facilitate collaboration among digital media planners, buyers, creative teams, analytics, and external vendors.
Provide regular, clear updates on project status and progress to all relevant stakeholders.
Foster strong working relationships and maintain open lines of communication to ensure smooth handoffs and efficient teamwork.
Process Optimization:
Continuously identify opportunities to enhance our project management processes and streamline workflows for greater efficiency.
Develop and maintain best practices for using Monday.com to manage digital media campaigns from initiation to completion.
Champion adherence to defined processes, ensuring consistency and quality in project delivery.
Qualifications:
Bachelor's degree in Marketing, Communications, Business, or a related field.
Solid experience in a project management, traffic management, or workflow coordination role, preferably within a digital media, marketing, or agency environment.
Demonstrable expertise in using project management software, with strong proficiency in Monday.com.
Exceptional organizational skills and a meticulous attention to detail, capable of managing multiple complex projects simultaneously.
Outstanding communication and interpersonal skills, with a proven ability to coordinate diverse teams and manage stakeholder expectations effectively.
Proactive problem-solver with a strong ability to anticipate needs and drive solutions.
Ability to thrive in a fast-paced environment and meet tight deadlines.
Preferred Qualifications:
Understanding of digital media campaign components (e.g., ad types, creative assets, tracking) to facilitate effective project coordination.
Experience in optimizing project workflows and implementing new process improvements.
