Position Overview
As a Payroll Executive, you will manage the full payroll lifecycle for SiGMA Group’s Malta team. You will interface closely with both HR and Finance to guarantee timely and accurate salary disbursements, statutory compliance, and seamless payroll reporting.
This role demands precision, confidentiality, analytical acumen, and a solid understanding of Maltese payroll legislation and systems (e.g., Shireburn Indigo Payroll).
Key Responsibilities
Payroll Processing
- Manage the end-to-end monthly payroll process for all employees across locations.
- Collect and verify data from HR (e.g., salaries, new joiners, terminations, bonuses, unpaid leave, overtime).
- Calculate statutory deductions (e.g. tax, social insurance) and company contributions.
- Prepare payslips and payment files for salary disbursement.
- Coordinate with Finance to ensure timely salary payments and journal entries.
Compliance & Reporting
- Ensure full compliance with local labor laws, tax regulations, and social insurance requirements.
- Submit required payroll filings to relevant authorities.
- Prepare payroll summaries, cost allocations, and reports for management and Finance.
Coordination Between Departments
- Maintain constant communication with HR to ensure timely updates of all payroll related changes.
- Work closely with Finance to support audits, reconciliations, and budget reporting.
- Keep clear records of payroll history, approvals, and any manual adjustments.
System & Records Management
- Maintain up-to-date payroll data in payroll systems.
- Track leave balances, unpaid absences, and other time-off that impacts payroll.
- Manage payroll documentation and ensure confidentiality of all salary-related information.
Employee Support
- Address employee payroll-related queries professionally and confidentially.
- Assist with preparation of documents such as salary certificates or income statements when needed.
Key Skills & Requirements
- Proven experience in payroll processing (minimum 2–3 years preferred)
- Good knowledge of payroll software Shireburn Indigo Payroll
- Understanding of local tax, labor, and social insurance regulations
- Strong numerical and analytical skills
- High level of accuracy and attention to detail
- Ability to handle confidential information with discretion
- Strong communication and coordination skills across departments
- Experience working across multiple countries or jurisdictions is an asset
